Welcome to your team’s central hub for all things UX research. Whether you're running usability tests, analyzing feedback, or collaborating with stakeholders, UXArmy Workspaces keep everything organized and everyone aligned.

This guide walks you through how you and your team can get the most out of Workspaces, from setting up your organization to managing roles, credits, and collaboration.

## **What is a Workspace?**

A Workspace is your team’s shared space to create, collaborate, and learn from user research. Every team on UXArmy starts with a Workspace, and each Workspace can host multiple users with different roles.

Workspaces are where you:

- Set up and run usability tests, surveys, and interviews
- Invite teammates and stakeholders
- Track research, highlight insights, and collaborate
- Manage roles, permissions, credits, and billing

Depending on your subscription, you can have one or more Workspaces connected to your Organization.

## **Understanding Roles in a Workspace**

Each person in a UXArmy Workspace has a role that determines what they can do. Here’s how different roles work together:

| **Role** | **What they do** |
| **Owner** | This is the user who purchased the UXArmy subscription. Invites users, manages roles, purchase subscriptions & credits and create and manage studies. |
| **Admin** | **Organisation Admin **<br>(only available in Pro and Organisation Plan)<br>Invites users, manages roles, purchase subscriptions & credits and create and manage studies. |
|  | **WorkSpace Admin**<br>Invites users, manages roles and create and manage studies **only within a specific Workspace.** |
| **Editor** | Create and launch tests, recruits users, analyzes results, creates & shares reports |
| **Collaborator** | Co-analyze results with Editor, joins in to tag videos, created video clips, notes, and collaborate in analysis space. |
| **Viewer** | Views shared research via a link - no account required. Can only view test results. |

**NOTE: Pro Plans** include 3 Full Seats (Editors) + 3 free Collaborators & **Organization Plans** offer customised number of seats with advanced role controls.

Owner / Admin / Editor need Full seats.

## **Setting up your workspace**

If you're the first person joining UXArmy from your team, you will be assigned a Workspace automatically. You can edit the name of your workspace using the Settings menu.

### **As an Owner / Admin, you can:**

- Rename or update the Workspace anytime
- Manage who has access and what roles they have
- Adjust settings for tests, analysis, and collaboration
- Control credits, billing, and organization-wide access

## **Inviting Your Team**

- Invite users directly via email from Workspace
- Assign a role (Admin, Editor, Collaborator) during invite

NOTE: Need to reassign a seat? Admins can update or remove users anytime.

Easily collaborate by inviting team members to your workspace with the right permissions. Choose between Admin, Editor, or Collaborator roles based on their responsibilities.

## **How to Invite Members?**

1. Go to **Settings -> Workspace -> Members**.
2. Click **Invite Members**.
3. Enter the email addresses (separate multiple emails with commas).
4. Choose the appropriate Role: **Admin**, **Editor**, or **Collaborator**.
5. Click **Send Invitation**.

**Tip**: Make sure you have available seats before inviting new members.

## **Invitation Status and Next Steps**

- **Pending Invitations**:  
After sending, users will receive an invitation email to join the workspace.
- **Accepting an Invitation**:  
Invited members must click the link in the email to accept and access the workspace.
- **Managing Invitations**:  
If needed, cancel or resend invitations for members who have not yet accepted.

## **Best Practices for Assigning Roles**

| **Situation** | **Recommended Role** |
| Setting up workspace, handling team access | **Admin** |
| Creating and managing user studies and tests | **Editor** |
| Reviewing results and creating insights | **Collaborator** |

## **Managing People & Roles**

Owner / Admins can manage all members of a Workspace from **Organization Settings**.

From there, you can:

- View current users and their roles
- Add, remove, or reassign roles

If you’re on an **Organization plan**, you also get:

- Multiple Workspaces
- Organisation admin with restricted access

Note: Your UXArmy account manager will get in touch with you to create multiple Workspaces and Organisation Admin.

## **Managing Seats and Credits**

Every UXArmy Workspace operates on a credit-based system.

### **Credits are used based on consumption:**

- Each participant response (whether you invite your own or use our panel)
- Research types: usability tests, surveys, user interviews, tree testing and card sort

You can track your credit usage, top up panel credits, and manage billing from **Settings → Credits & Usage**.

## **Subscription & Billing**

As an Owner / Admin, you’ll have access to:

- Current subscription details
- Downloadable invoices
- Credit usage breakdown
- Plan upgrades and add-ons (like more seats)

NOTE: Organization plans offer **custom billing, invoicing, and centralized credit tracking**.

## **Personal Settings**

Each team member can manage their own:

- Name, email, and password
- Manage timezone for user interviews
- Set your availability for user interviews
- Connected tools from Workspace → Integrations.

To update, go to **Settings → Workspace / Settings → Profile**
